Vehicle shipment delayed: what to ask your forwarder

What to ask your forwarder about shipment status, next steps, extra costs and readiness for collection.

Prepared by: West MatterhornPublished: Updated:

In brief

Ask your freight forwarder for the last confirmed event, the cause of the delay and the next action. ETA (estimated time of arrival) is a forecast. Actual arrival and readiness for collection need separate confirmation.

1. Confirm the last known status

  • Give your forwarder the booking reference and vehicle identification number (VIN) or container number. Ask for the last confirmed event, place and date.
  • For a batch, request a status for each vehicle. A vessel's position does not prove that your car is on board.

2. Find out what is blocking progress

Ask which stage is delayed, why and what must happen before transport can continue or the vehicle can be collected. Separate a confirmed cause from one still being investigated. An importer needs to know whether a document is missing or the shipment is awaiting transport.

3. Agree who does what next

Ask your forwarder to confirm the next action, who will handle it and when progress will be checked. Clarify what you need to provide or approve. If you are exporting a sold vehicle, explain your buyer's deadline so it can inform the plan.

4. Compare timing and costs

  • Request separate forecasts for arrival and collection. If an alternative is available, compare timing to the same destination, confirmed space, documents and total extra cost.
  • Check when any free storage period ends, subsequent rates and who pays. Do not cancel before a workable replacement is confirmed.

5. Adjust the receiving plan

Agree the next update with your forwarder, even if no reliable new date is available. For a resale, tell your buyer what is confirmed and what remains an estimate; adjust handover plans. For a personal purchase, keep collection arrangements flexible until readiness is confirmed.

What does each arrival status actually mean?

Ask which location each status refers to and what still prevents collection.

  • ETA: forecast arrival, not a guaranteed handover date.
  • Actual arrival: confirmed arrival, not confirmation that unloading or formalities are complete.
  • Release: permission to collect. Before arranging onward transport, ask your forwarder to confirm unloading and all required permissions.

The vehicle missed its next sailing. What now?

Ask your forwarder which next sailing is proposed, whether your vehicle has confirmed space, and how the change affects onward delivery and costs. A timetable is not a booking. If only part of a batch is delayed, ask whether separate delivery is available and worth the extra cost.

Would a different carrier be more reliable?

A single delay does not establish that another carrier is more reliable. Ask whether any comparison covers the same route, service and period. Judge an alternative by expected readiness for your buyer or your own use, not just an earlier arrival in the timetable.

From our own work

A real example

Korea to the UAE: a 55-day change in the arrival forecast

Shipment year
2026
Route
South Korea to the UAE
Stage
Transshipment in Mumbai
Change in ETA
55 calendar days

Cargo and booking

Three passenger cars for private clients travelled in one container under a Maersk Spot booking. The timing agreed with the clients was based on the line's forecast.

What changed

The notice dated 6 October gives 27 October as the ETA at Khor Fakkan. The supplied tracking snapshot gives 10 November, against a previous ETA of 16 September: a 55-day change in the forecast, not the final delay. The line cites network capacity limitations and a different itinerary.

What we did

We kept the existing route and waited for onward transport under the Spot booking. Options for changing other bookings need to be checked individually.

Last confirmed shipment status

As of 27 October 2026, the shipment was still in transit. No additional charges had been billed as of 21 October 2026; there is no later cost update. Actual arrival and handover dates remain unconfirmed.

What this means for you

Separate the latest ETA from the actual arrival date. Check additional charges independently: a long delay does not itself establish that charges have been billed.

West Matterhorn considers the situation around the Strait of Hormuz a contributing factor. This is our assessment; the carrier's notice does not identify it as the cause of this shipment's delay.

About this example

Sources: the Maersk notice of 6 October, the supplied tracking snapshot and West Matterhorn's account of 21 October 2026. West Matterhorn confirmed on 27 October that the shipment was still in transit. The snapshot's capture date is unknown; no new ETA or cost update was provided.

A real example

Car transporter collision: replacement transport and a three-day delay

Stage
Road transport
Delay
Around three days

What happened

Another car transporter collided with the vehicle carrying the shipment. The transporter was damaged, but the cars it was carrying were not, according to West Matterhorn's account.

How transport continued

The cars were transferred from the damaged transporter to an undamaged replacement. The replacement and transfer process added around three days.

Outcome

A replacement transporter allowed the shipment to continue. The delay was around three days; no cargo damage was reported.

What this means for you

Ask the forwarder for separate updates on vehicle condition and onward transport. Confirm whether a replacement transporter is needed, when delivery is now expected and whether any costs need your approval.

This is a transport-recovery example, not evidence of an insurance payment. No compensation or additional-cost outcome has been confirmed.

What to keep in mind

This guide helps you plan; it does not confirm a delivery date or entitlement to compensation. Alternative routes and online tracking are not available for every shipment. Collection requirements, charges and booking changes depend on the route and agreed terms.

Documents for your shipment
  • Booking confirmation with the agreed collection point, destination and services included.
  • The latest dated carrier notice, confirmed shipment events and arrival forecast.
  • Written collection requirements, storage rates, any period without storage charges and booking-change terms.
